How to Add an Item in SAFE

This guide will walk you through how to add an item in SAFE. Once you've created a case and added person(s), you can begin adding items to that case. You can add as many items as needed.

To get started, click Save and Add an Item at the bottom of the New Case or Add Person page, or follow the steps below.

Adding an Item from the Navigation Menu 
  1. From the Navigation Menu, select Add → Item
  2. Enter the Case Number for the case you want to add an item to
  3. Select a Category from the dropdown list
  4. Click Next


Enter the required item details. Required fields are determined by your Org Admin and may include Recovered By, Recovered At, Recovery Date, Description, Custody Reason, and Storage Location. You may also enter additional details such as Make, Model, and Serial Number.

Click Save or select Save and Add another Item.

Close Case Alert: If you attempt to add an item to a closed case, SAFE will prompt you to reopen it before proceeding.


Item Status (Check In / Checked Out)
Depending on your organization’s settings, items can be entered as Checked In or Checked Out.
  1. Checked In – This is the default. Enter the Storage Location and click Save
  2. Checked Out – If enabled, select Checked Out under Status

When Checked Out is selected, additional required fields will appear:
  1. Checked Out By
  2. Checked Out To
  3. Reason
You may also add notes, select an expected return date, or capture a signature if enabled by your administrator.

 SAFE TIP: Add Item Fields (Reference)

  1. Case – Required. Enter the case the item belongs to
  2. Category – Required. Select from the available list
  3. Recovered At – Required. Location where the item was recovered
  4. Custody Reason – Required
  5. Storage Location – Required
  6. Item Belongs To – Select a person already entered in the system (if enabled)
  7. Tags – Add searchable labels to help identify the item

Please note, some categories may include additional required fields based on your organization’s setup.
