Moving an Evidence Room in SAFE

This guide outlines the recommended procedures and best practices for moving an Evidence Room while maintaining the integrity of the chain of custody within the SAFE system.

Preparation: Run a complete inventory report before physically moving any items.

Recommended Procedure: Creating New Storage Locations 
This approach is recommended because it keeps the existing office structure intact while tracking the relocation of the items. You are able to move items to their new Storage Locations without having to check items out and then back in.
  1. Maintain Current Office: Keep the current SAFE office location.
  2. Add New Storage Locations: Create new storage locations within the current office to represent the new physical shelving, cabinets, or rooms.
  3. Move Items: Scan and move each item to its new storage location. You can use the Scan feature in SAFE to scan multiple items and move them in one transaction as opposed to moving each item individually in SAFE.
Alternative Procedure: Creating a New Office 
This option offers the best chain of custody, but it is the most time-consuming administrative option.
  1. Create New Office: Create a new office location in SAFE and new Storage Locations within that office.
  2. Perform Full Check-Out/Check-In:
  1. Scan and check every item out of the old office
  2. Scan and check every item into the new office
Handling Transportation via Moving Truck 
If you utilize a moving truck for transportation, follow these steps to maintain the chain of custody:
  1. Create a Truck "Person": Create the moving truck as a "person" within the SAFE system.
  2. Check-out to Truck: Scan and check every item out to the moving truck before it is loaded.
  3. Check-In from Truck: Scan and check every item back in from the moving truck upon arrival at the destination.
